“Who's guiding tomorrow's 8 AM tour?”
TourOptima expanded into CRM and AI in 2025, but its core remains guest communication — branded apps, messaging, live tracking, review routing. It does not manage guides, vehicles, departures, or shift scheduling. When a guide calls in sick at 6 AM, you need a platform that shows who's available, qualified, and nearby. TourOptima wasn't designed for that. You still need spreadsheets or another tool for day-to-day operations.

TourOptima has no financial module — no margin tracking, no tour settlement, no financial reporting. You cannot see how much a specific departure actually cost you: guide pay, vehicle expenses, ticket costs. For operators who need to know their real margin per booking or per tour, a separate accounting workflow is required. This gap hasn't changed with TourOptima's 2025 expansion.
“Which system was that booking in?”
TourOptima publicly markets a Ventrata integration. It doesn't consolidate bookings from multiple OTAs into a single view. If you sell through Viator, GetYourGuide, Bokun, FareHarbor, and your own website, you check each one separately. Automate sits next to Bokun, FareHarbor, Rezdy, and Ventrata; bookings cross over via confirmation forwarding or CSV and land in one screen.
